Installation Preparation

What to Prepare Before Installing Your Business Signs

A practical preparation guide for Ottawa business owners and project managers — so your installation goes smoothly and on schedule.

Most installation delays are caused by things that could have been sorted out before the crew arrived. Lundon Calling manages most of this list on behalf of our clients — but understanding what is involved helps you plan your timeline and avoid surprises.

What to Have Ready Before Your Sign Installation

Four categories of preparation — organized so you can work through them in order.

Permissions & Approvals

  • Landlord sign approval in writing (required before permit application in most leased properties)
  • City of Ottawa or municipal sign permit — or confirmation from your installer that it is in progress
  • Strata or property management sign criteria reviewed and confirmed
  • Heritage designation status confirmed if your building is in a heritage area

Site Access

  • Confirmed site access for the installation crew and equipment — boom lift access, parking, building access
  • Property manager or building superintendent notified of the installation date and time
  • Parking or loading zone reserved for equipment if required
  • Electrical panel or junction box location confirmed for illuminated sign installations

Sign Specifications

  • Final approved sign drawings — dimensions, materials, colours — confirmed with your sign company
  • Brand guidelines or franchisor spec sheet shared with your installer
  • Mounting surface type and condition confirmed — brick, stucco, metal panel each require different hardware

Practical Site Prep

  • Area below the install zone cleared of vehicles, planters, furniture, or other obstructions
  • Interior surfaces protected if installation involves penetrations through walls
  • Staff notified if there will be noise or temporary disruption to operations

The Preparation Items That Most Often Cause Delays

Four gaps that consistently push installation dates — start these early.

Landlord approval not started

This is the most common delay. Landlords can take 1–3 weeks to respond. Start this as early as possible.

Electrical access not confirmed

For illuminated signs, knowing where the nearest accessible junction box or panel is before installation day saves significant time.

Site access blocked

Boom lifts require clear access paths and level ground. Confirm this before scheduling.

Sign drawings not finalized

Permits cannot be filed and fabrication cannot start until the drawings are approved. Delays here compress everything downstream.
